About the Role
Oversee daily administrative operations and logistics for the Wuhan office to provide employees with an efficient, comfortable, and safe workplace, ensuring all office functions run smoothly.
Responsibilities
1. Office Environment & Space Management
Manage the front desk reception area; maintain a clean, tidy, and well-organized office environment.
Supervise cleaning services to ensure hygiene in office areas, meeting rooms, pantry, restrooms, and other shared spaces.
Manage workstation allocation and signage, and optimize the layout of common areas.
Oversee the leasing and maintenance of office plants.
2. Asset & Supplies Management
Handle the procurement, inventory management, and distribution of office supplies and stationery.
Manage office fixed assets (e.g., furniture and equipment), including procurement, registration, maintenance, and inventory checks.
3. Vendor & Expense Management
Liaise with various vendors, including property management, landlord, courier, cleaning, plant maintenance, and renovation services.
Process and verify daily office administrative expenses (e.g., utilities, property management fees, internet, courier fees).
4. Reception & Meeting Support
Receive and direct front-desk visitors and notify relevant staff.
Manage meeting room bookings and ensure meeting room equipment (projector, phone) is in proper working order.
5. Employee Support
Handle onboarding preparation for new employees (e.g., workstation, access card, business card printing, office supplies) and offboarding procedures.
Assist in organizing employee activities for the Chengdu office.
6. Security & Compliance Management
Manage the issuance and administration of office access cards.
Monitor office security; check doors, windows, and power supplies after work hours
About You
1–2 years of office administration experience.
A people person — friendly, approachable, and professional with visitors, employees, and vendors alike.
Strong organizational and multitasking skills with a keen eye for detail.
Proactive problem solver who takes pride in keeping things tidy, safe, and running like clockwork.
Basic Excel skills for inventory, expense tracking, and reporting.
Mandarin fluent; English a plus.
Based in Wuhan, available to work on-site.
